Purpose and legal basis
Your personal data will only be used for any necessary pre-contractual measures relating to your application. The legal basis for this is Article 6 1. (b), (c) and (f) of the European Data Protection Regulation (GDPR).
Should your application be successful, your data will be further processed to create the work contract (Article 6 1. (b) GDPR). Legal obligations regarding personnel files and accounting will be adhered to in accordance with Article 6 1. (c) GDPR.
To safeguard valid interests (e.g. data protection) we process data on the basis of Article 6 1. (f) GDPR. For enforcing, exercising and defending legal claims, personal data is also processed based on Article 9 2. (f) GDPR. Any health-related data wis processed according to Article 9 2. (b) and (h) GDPR.
Any data we may receive from third parties
As a rule, we receive your personal data directly from you, but we also receive information on potential candidates from the Federal Employment Agency and recruitment agencies.
Recipients of personal data
Within ERA, your personal data can only be accessed by those involved in the application process (e.g. personnel department, superiors, work council, accounting, company medical officer, etc.).
We also transfer data to public authorities (e.g. the federal state finance office (which effects salary payment), the tax office, the federal employment agency). Partner companies (e.g. computer centres, IT service providers, hosting companies) may, within the confines of their tasks, have partial access to personal data.
To optimise the application process, we use the services of the specialised provider Personio SE & Co. KG, Munich. The provider has access to personal data only to the extent necessary for the provision of the service. The provider is contractually bound to confidentiality.
How long will your personal data be stored?
As a basic principle, your application data is only stored until the application process has been completed, plus an additional six-month period. If you have agreed to inclusion in our pool of applicants, we will store your data for a year after the application process has been completed.
Any data relating to accounting procedures (e.g. reimbursement of travelling expenses) is stored in compliance with corresponding legal requirements on the storage of such data, which can be for up to ten years.
Within our data protection management framework, copies of data are stored in separate areas for several years, only accessible by a limited number of persons, until they are routinely overwritten.
Rights of the persons involved.
We process your data on the basis of your authorisation and you have the right to rescind this authorisation at any time; this does not affect the legality of any data processing carried out until such authorisation is rescinded.
You not only have the right to information on your data but also to correction, deletion and restriction on processing, alongside the right to object to processing, the right to transfer data, as well as the right to complain to a supervisory body.
Obligations to provide data
You are only required to provide us with the data necessary for processing your application and for the fulfilment of our legal obligations; without this data, we are not able to successfully complete the application process.
We may also request your authorisation for using further personal data needed to process your application, this data is given on a voluntary basis.
Processing in a third country
There is no intention to process your data in a third country or to transmit your data to an international organisation.
Automatic decision-making in individual cases (including profiling)
We do not use any procedures for automatic decision-making.

Data transmitted as part of your application will be transferred using TLS encryption and stored in a database. The sole controller of this data within the meaning of article 24 of the GDPR is the enterprise carrying out this online application process. Personio’s role is limited to operating the software and this recruitment website and, in this context, being a processor under article 28 of the GDPR. In this case, the processing by Personio is based on an agreement for the processing of orders between the controller and Personio.
In addition, Personio SE & Co. KG processes further data, some of which may be personal data, to provide its services, in particular for operating this recruitment website. We will refer to this in more detail below.

Access logs (“server logs”)
Each access to this recruitment website automatically causes general protocol data, so-called server logs, to be collected. As a rule, this data is a pseudonym and thus does not allow for inferences about the identity of an individual.

When an error message occurs, general data such as the domain name of the website, the web browser and web-browser version, the operating system, the IP address, as well as the timestamp upon occurrence of the respective error message and/or specification is collected.
These error logs are stored for a period of up to 7 days. There is no right to object to this.
